Overview

MeetingInsights for Mac (“the App”) is developed by Saurabh Sharma, an independent developer publishing as techbysaurabh. This policy explains how the App handles your data.

In short: MeetingInsights does not collect, store or share any personal data. Recording, transcription, minutes generation and the per-meeting chat all happen entirely on your Mac. The App contains no networking code.

Data access

Microphone

  • The App records from the microphone only while you have explicitly started a recording session, and only until you stop it.
  • Audio is processed on your Mac for live transcription. If you turn on “Keep audio recordings” in Settings, the audio file is stored locally inside the App's sandbox container; otherwise it is discarded once the session ends.
  • Audio is never transmitted off your Mac.

System audio (audio playing on this Mac)

  • The App can optionally capture the audio your Mac is playing, so that the other side of a call (Zoom, Google Meet, Microsoft Teams, or any other app) is transcribed alongside your own voice.
  • This uses Apple's Core Audio process-tap API. macOS asks for your permission before it can be used, and you can turn the feature off at any time, per recording or in Settings.
  • Captured system audio is mixed with the microphone locally, transcribed on your Mac, and never transmitted anywhere.
  • The App does not capture your screen, and it does not record audio when no session is running.

Audio files you import

  • When you import a recording, the App reads only the files you explicitly choose or drag onto the window.
  • Imported audio is transcribed on your Mac. A copy is stored locally only if you turn on the option to keep audio.

Speech recognition (on-device)

  • Transcription uses Apple's on-device speech frameworks (SpeechAnalyzer and SpeechTranscriber, macOS 26).
  • Transcription runs entirely on your Mac. No audio or transcript is sent to Apple's servers or to any other server.

Artificial intelligence features

MeetingInsights uses Apple Intelligence (Apple Foundation Models), which runs entirely on your Mac:

  • Minutes generation: your transcript, or notes you paste, are processed by the on-device model to produce a summary, key discussion points, decisions, action items with owners, and next steps.
  • Live minutes: during a long recording, the App can optionally regenerate an interim summary from the transcript so far, on the same on-device model.
  • Meeting title: a short title is suggested from the transcript.
  • Meeting chat (“Ask”): questions you ask about a meeting are answered by the on-device model using only that meeting's transcript and minutes.

For all AI features:

  • All processing happens on your Mac. No transcript, note, question or generated text is transmitted to any server, Apple's or otherwise.
  • Generated minutes are stored locally (SwiftData). Chat history exists only for the current session and is never written to disk or sent anywhere.
  • No third-party AI service is used.
  • The model is instructed to restate only what meeting participants actually said, and not to add advice, opinions, or medical, legal or financial claims of its own.

Data storage

  • Meetings, transcripts and generated minutes are stored locally in the App's sandboxed container using SwiftData.
  • Retained audio recordings, when enabled, are stored in the same container.
  • Nothing is synced to iCloud or to any server. Deleting a meeting deletes its minutes and any retained audio.
  • Exports (Markdown, PDF, plain text) are written only to the location you choose in the save panel.

What the App does not do

  • No networking. The App contains no network client and makes no outbound connections of any kind.
  • No accounts, no sign-in, no user identifiers.
  • No analytics, telemetry, crash reporting, tracking or advertising.
  • No third-party SDKs. The binary links only Apple system frameworks.
  • No data collection, so there is nothing to sell or share.

Recording consent

Laws about recording conversations differ by country and by state, and some require the consent of everyone involved. You are responsible for obtaining any consent that applies to you. The App shows a reminder on the recording screen.

Children's privacy

MeetingInsights for Mac does not collect any data from anyone, including children under the age of 13.

Changes to this policy

If this privacy policy is updated, the changes will be reflected on this page with an updated date.
